SAFEGUARDING CHILDREN AND VULNERABLE ADULTS
DURING DEVON VINTAGE CAR CLUB EVENTS.
Policy date 12/02/25
This policy applies to anyone working/volunteering on behalf of The Devon Vintage Car Club, also referred to in this policy as the DVCC. The policy will be distributed to all Committee members and available to all marshals at DVCC events. The policy will also be available to DVCC members on request.
It is everyone's responsibility to have the well-being and safeguarding of children and vulnerable adults at the forefront of every activity and event carried out by the Devon Vintage Car Club. A child is classed as anyone under the age of 18 and Vulnerable adult would be 18 and over.
We are constantly encouraging the younger generation into the Classic Vehicle scene and this often involves children visiting our Club Stands or events that we put on and the following guidelines have been put into place to protect and support everyone involved.
DEALING WITH A LOST CHILD SITUATION
If a child is found to be lost or not in contact with a family member or guardian whilst at a DVCC event, the clubs appointed Safeguarding Officer, Auboné Braddon, is to be immediately informed if they are in attendance. If the Safeguarding Officer is not in attendance at an event and not able to take lead of the situation, then two members of the DVCC, preferably DVCC marshals, need to stay with the child while the appropriate announcements are made to find the child's parents/guardian. At no time is a DVCC member to be put in the vulnerable position of being alone with the child.
Every effort should be made to verbally re-assure the child in a calm manner that we are looking for their Parent/guardian. Physical contact should be kept to an absolute minimum but the child might want to hold your hand. This has to be the choice of the child. There is no need to move the child from their location if they are in no Immediate danger. If it is safer for the child to be brought to the DVCC Event Shelter and they are happy for this then this is to be done. If a period of one hour has passed and no contact has been made with a Family member or Guardian then the Police are to be informed in the usual way of phoning 101 or 999. The child is to be supported by the DVCC Safeguarding Officer, Aubone Braddon and another DVCC member or by two DVCC members if the Safeguarding Officer is unavailable until the Police arrive. All of the above would also apply to a lost vulnerable adult.
The Event shelter or marshals post will have a laminated notice displayed telling the public we have an up to date Safeguarding policy in place and a Safeguarding Officer, showing their name which is currently Committee member Auboné Braddon. The notice will also have a brief description of what to do in a Safeguarding situation. .
SOCIAL CONTACT WITH CHILDREN AND VULNERABLE ADULTS AT A DEVON VINTAGE CAR CLUB EVENT
It is a rewarding experience to have children and Vulnerable adults showing an interest in DVCC members vehicles at events we hold or attend and often children want to sit in our cars or look around them with great interest. This can be very rewarding for everyone but also needs to be done in a safe way for everyone.
If a child wishes to get in or be lifted into a members car then it is good practise to open the vehicle door and then let the parent or guardian have the physical contact with the child. Always make sure you can be seen by other DVCC members while interacting with any vulnerable adults or children and always make sure the environment they are going into is safe for them to do so. Always ask the parents or guardians permission with any request the child asks.
PHOTOGRAPHING CHILDREN AND
VULNERABLE ADULTS
We all love to record and photograph the events of the Devon Vintage Car Club for our own use and of course our facebook page, website, Club Magazine and any other social media. Not forgetting newspapers and magazines that we get involved with.
If we find there are children or vulnerable adults featured in any photos we want to use then always get permission from the parents or guardians.
If you wish to take a specific photo recording a DVCC event involving children then always get permission from the parents or guardian before taking any photos. It is good practice to show the parent/guardian the photo you have taken and the ones you want to use in any social media posting. The parent/guardian also has the right to know where digital photos of their children will be stored. These will be in two places. With the magazine Editor. Currently Carol Eaton and with the Safeguarding Officer/ Website/ facebook administrator, Currently Auboné Braddon.
DBS CERTIFICATE
The Devon Vintage Car Club is aware that not all marshals and Committee members have a DBS Certificate. This is considered not necessary as the Devon Vintage Car Club does not work directly with children or vulnerable adults. However, there are members of the DVCC with DBS certificates and the Safeguarding Officer, Aubone Braddon has an Enhanced DBS for working with Vulnerable Adults and Children. A copy of which is held with the Club Secretary, currently David Bishop.
ALLEGATIONS
If a Safeguarding allegation is made against a member or a committee member of the DVCC during a DVCC event, then appropriate action will be taken using the correct authorities.
